As your dealership in Greece grows, managing Car Spot as a single-user operation becomes a bottleneck. Salespeople need to respond to enquiries promptly, stock managers need to create and update listings, and management needs oversight of performance data — ideally without sharing a single login and losing visibility of who did what.
Car Spot supports multi-user dealer accounts with role-based permissions, so every member of your team can access exactly the tools they need — and only those tools. This guide explains how to set up and manage your team on Car Spot effectively.
User Roles in the Car Spot Dealer Dashboard
Car Spot provides three main access levels for dealer team members. The Owner role has full access to all features including billing and account settings. The Manager role can manage listings, respond to enquiries, view analytics, and add or remove standard users. The Sales role can respond to buyer enquiries and view listing performance but cannot create new listings or access billing. Assign roles according to your team structure in Greece.
- Owner: full access including billing, account settings, and team management
- Manager: listing management, enquiry inbox, analytics, and user management
- Sales: enquiry inbox, listing view access, and performance metrics
- Each team member uses their own login credentials — no shared passwords
- All actions are attributed to the individual user, giving you a clear audit trail
How to Add a Team Member
To add a new team member to your Car Spot Dealer Dashboard, navigate to Settings > Team and click “Invite team member.” Enter their email address, select the appropriate role, and send the invitation. They will receive an email with a secure link to create their own Car Spot account connected to your dealership. The entire process takes under two minutes.
Assigning Enquiries to Specific Team Members
When a buyer sends an enquiry through Car Spot, it arrives in the shared Buyer Inbox and can be assigned to a specific salesperson. This is particularly useful for larger dealerships in Athens or Thessaloniki where different sales staff handle different vehicle categories — for example, one person managing used EVs and another handling mainstream stock. Assigned conversations appear in the individual team member's queue, and any unassigned enquiries remain visible to all managers.
Monitoring Team Performance
Managers and owners can view performance data broken down by team member in the Car Spot Analytics Dashboard. This includes response time per salesperson, number of enquiries handled, and conversion rates. For Greek dealerships with multiple salespeople, this data is invaluable for identifying top performers, spotting training opportunities, and ensuring that no enquiries are falling through the cracks.
Removing or Updating Team Member Access
When a team member leaves your dealership, remove their access immediately from Settings > Team in the Car Spot Dealer Dashboard. Their login is deactivated instantly and they can no longer access your account. All their previous conversation history remains visible to remaining team members. Role changes — for example, promoting a salesperson to manager — take effect immediately and require no action from the affected user.
