How to Manage Your Dealer Team on Car Spot in Thailand

Running a car dealership in Thailand is a team effort. Sales staff, listing managers, finance coordinators, and management all need access to the right information at the right time. Car Spot's team management tools allow you to define clear roles, control who can see what, and ensure that buyer enquiries are handled promptly by the right person—without everyone having access to billing and account settings.

Why Clear Roles Prevent Missed Sales

When an enquiry arrives in the Car Spot inbox and it is unclear who is responsible for responding, buyers can wait too long and move to a competitor. When multiple staff reply to the same message, it looks unprofessional. Assigning clear roles within your Car Spot account eliminates both problems and creates a more organised, accountable operation.

Roles Available in Car Spot

  • Administrator: Full access to all Car Spot features—inventory, inbox, appointments, team management, analytics, and billing.
  • Sales executive: Access to the inbox, appointment scheduling, and listing details—without access to billing or team management.
  • Listing manager: Can create, edit, and manage vehicle listings and view listing analytics. No access to billing or inbox.
  • Reception / front desk: Access to appointments and the inbox for initial customer communication.

Adding New Team Members to Car Spot

Invite a new team member from the Car Spot team management section. Enter their email address, select the appropriate role, and send the invitation. They will receive an email with a link to create their account. The entire process takes under five minutes and the new member can begin working immediately.

Monitoring Team Performance

As an administrator, you can see response times, the number of enquiries handled, and which listings each team member has been involved with through Car Spot's analytics dashboard. Use this data to identify staff who may need support or training and to recognise strong performers. In the Thai market, response time is a critical differentiator—a team that replies fast will consistently outperform one that does not.

Offboarding Staff Safely

When a staff member leaves your dealership, remove their Car Spot access immediately. Go to team management, locate the user, and deactivate or remove their account. Any open conversations they were managing will remain visible in the inbox and can be reassigned. Make this step part of your standard offboarding process alongside revoking access to other business systems.
